About the NCE
The Namibian Chamber of Environment (NCE) is a membership-based umbrella organisation representing 83 environmental NGOs. NCE provides a forum for the broader environment sector, coordinating advocacy, policy engagement, and collaboration on environmental issues at both national and international levels.
The NCE invites suitably qualified and motivated Namibian citizens to apply for the position of Receptionist and Administrative Assistant.
Position Summary
This role ensures the efficient functioning of the NCE by providing professional administrative, operational, and organisational support. The Receptionist and Administrative Assistant will report to the Co-Director and Chief Executive Officer.
Key Responsibilities
Reception and Front Office Duties
Serve as the first point of contact for visitors, members, and stakeholders
Receive and direct visitors professionally
Answer, screen, and direct phone calls; manage email enquiries
Maintain a welcoming, organised, and professional reception area
Administrative Support
Provide general administrative and clerical support
Manage incoming and outgoing correspondence
Maintain physical and electronic filing systems
Coordinate office supplies, equipment, and asset registers
Perform other ad hoc duties as required
Membership, Grants, and Bursary Administration
Support membership applications and communications
Update and maintain the membership database
Administer bursary and grant programmes per NCE policies
Secretariat and Governance Support
Prepare and distribute meeting notices, agendas, and packs
Take minutes at Board, AGM, and other meetings
Financial Administration
Assist with basic finance and petty cash support
Support record-keeping for audits and reporting
Process invoices and payments
Monitor budgets and financial reports
General Office Support
Supervise cleaning and garden staff
Ensure property, utilities, and services are functional
Assist with events, workshops, conferences, and meetings
Requirements
Diploma or Bachelor’s degree in Business Administration, Office Management, or related field
Minimum 5 years experience in an administrative or secretariat role (preferably in NGOs or professional bodies)
Experience in grants or bursary administration is an advantage
Valid Driver’s License
Skills & Competencies
Strong organisational and administrative skills
Excellent written and verbal communication skills in English
Ability to manage multiple tasks and deadlines
Professionalism, integrity, and confidentiality
Ability to work independently and in a team
Proficiency in Microsoft Office
Knowledge of Sage Pastel is an advantage
