📝 Job Purpose

The Receptionist will provide professional front-desk and administrative support to ensure the smooth daily operation of the LSS Walvis Bay office. This role serves as the first point of contact for clients, visitors, and service providers, ensuring a welcoming, efficient, and service-oriented environment.


🔧 Key Responsibilities

1. Front Office & Client Engagement

  • Greet and welcome visitors professionally

  • Ensure visitors are signed in and directed appropriately

  • Maintain a high standard of customer service at all times

2. Communication Management

  • Answer and direct incoming calls professionally

  • Respond to general enquiries in line with company standards

  • Relay clear and accurate messages

3. Reception & Office Maintenance

  • Maintain a clean, orderly, and presentable reception area

  • Ensure brochures, forms, and stationery are adequately stocked

  • Monitor and replenish front office supplies

4. Mail & Courier Coordination

  • Receive, sort, and distribute incoming mail and deliveries

  • Prepare and track outgoing courier parcels

  • Maintain accurate courier records and waybills

5. Administrative Support

  • Perform general clerical duties, including filing and record keeping

  • Assist with document preparation, scanning, photocopying, and data entry

6. Operational Support

  • Assist departments with ad hoc administrative tasks

  • Support management with administrative follow-ups

  • Assist with travel arrangements, report formatting, or event coordination when required


🎓 Qualifications & Experience

  • Grade 12 certificate (NQF Level 4) – required

  • Certificate or Diploma in Office or Business Administration – advantageous

  • Minimum 2–3 years’ experience as a Receptionist or Front Office Administrator

  • Previous experience in a logistics or corporate environment will be an advantage

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Fluency in English (written and verbal) is required

  • Fluency in Afrikaans will be an added advantage
